How Zero-Retention Architecture Keeps Your Data Safe During Migration
The Compliance Problem
When you migrate workspace data between platforms, someone has to move the data. That means your emails, files, calendars, and contacts pass through a third-party system. For most migration tools, this means your data is temporarily stored on their servers — sometimes for hours, sometimes for days.
For organizations subject to HIPAA, SOX, FERPA, or other regulatory frameworks, this creates a compliance nightmare. Who has access to that data? How is it encrypted? When is it deleted? Can you prove it was deleted?
How Zero-Retention Works
MigrateData uses a streaming architecture that eliminates this problem entirely.
The Data Flow
- Read — MigrateData calls the source platform API to read an item (an email, a file, a calendar event)
- Transform — The item is transformed in memory (format conversion, field mapping, permission translation)
- Write — The transformed item is immediately written to the destination platform API
- Discard — The in-memory data is released. Nothing is written to disk. Nothing is stored in a database.
The entire read-transform-write cycle happens in a single streaming operation. Your data exists in MigrateData's memory for milliseconds.
What We Do Store
Only metadata is persisted:
- Item counts — How many emails, files, etc. were migrated
- Item sizes — For progress tracking and billing
- Status — Success, failed, skipped (with error messages for failed items)
- Timestamps — When each item was processed
This metadata contains no content — no email bodies, no file contents, no calendar details.
Large File Handling
For files larger than 4 MB, we use chunked streaming. Each 10 MB chunk is read from the source, transformed, and written to the destination before the next chunk is processed. At no point is the entire file in memory or on disk.
On-Prem Agent: Even More Control
For organizations that need absolute control over data flow, our on-prem agent runs inside your network. Data moves directly between your Exchange server and the destination platform without ever leaving your network perimeter. Only metadata reaches the cloud dashboard.
The agent is designed for flexible deployment into existing infrastructure. All local data is encrypted with AES-256-GCM, and all communication uses HMAC-SHA256 message signing. Full deployment architecture is reviewed under NDA during customer onboarding.
Compliance Made Simple
With zero-retention architecture, compliance conversations become straightforward:
- "Where is our data stored?" — It's not. Only metadata is stored.
- "How long is data retained?" — Zero seconds. Data streams through memory only.
- "Can you sign a BAA?" — Yes, for Enterprise customers.
- "Can we audit the data flow?" — Yes, immutable audit logs track every operation.
